I have a local hospital that wants to use one of my pictures to promote their hospital on a billboard Now, I don't necessarily feel I need to charge them, but do I have them sign a form or something requiring them to request permission whenever they want to use the picture?
I wouldn't want to e-mail them a picture, just to let them do anything they wanted.
Would I require them to put a Copyright on the billboard or just have them sign something?
Since I am posting, what do you guys normally charge for use of a picture for something like this?

If they feel it's good enough to use on their billboard, it's good enough for you to charge them. At the rates hospitals charge, they do not need charity and you shouldn't be giving your work away anyway. I've never seen a credit on a billboard and it wouldn't matter anyway as it would be too small to read. Remember that they generally keep it to seven words or less. The rates you would charge depend on how many they want to put up, for how long, over what general area, and whether that's their only usage. Don't know exactly where this is, but you can call a couple of photographers in you area and find out what they would charge. Do not let them use it for free. Whatever the subject matter is, it's your image and it has value.

I agree with Peter. If you want to give them a break, figure out what the image is worth and give them a discount, but charge them. The professional photographers of the world will thank you.

When is the last time a hospital gave you a break when you were sick ? Last time I went it was $1800 for six stitches and a tetnus shot . I never saw a MD yet I was billed another $600 for him to sign my chart and I am not paying him .
Since you already shot the photo I would start at 5-10K and go from there depending on how long they want it for . The only way they would get a break was if it was some sort of charity they were promoting that helped people that couldn't afford the treatment . Otherwise screw em and pay for it .
They have a budget for advertising and can afford to pay , think the printer is printing it for free ? Just another lame attempt to grab a free image .

I agree with eric. The hospital isn´t exactly sitting on the corner shaking a tin cup. And they do have a budget for ads, and they´ll be willing to pay you a decent rate. This is a billboard to bring in business. They´ll likely make 20 times what you charge them in a week without a doubt. Eric´s advice on price is right on. Even a lame stock image will run around 3k for a billboard.

Come on people....let's try and keep this professional. How much you paid for your stitches is COMPLETELY IRRELEVANT. This is not about payback for some percieved wrong.
Roger - I agree that you should not give the image to the hospital for free unless you have some overriding reason to do so. Even then, it should be a tax writeoff equal to the fair value of the image. FInd out how much the image is worth (based on expected use). Create a contract and do it all in a professional manner. The hospital should expect no less.

You can use www.photographersindex.com/stockprice.htm to help with calculating. For a billboard you have to use the billboard-major illustration-then pick the number of billboards. For 10 billboards or less it indicated $1,100 - $1,800 for a one year run. For 11-100 the price quoted is $1,400-$2,800.
Just putting this out as an option to you. I don't know your market, etc. Congratulations!

They are way off on their pricing , the printer will make more than the photographer .

Do it for a tax write off , maybe if it was a not for profit but there are not many of them .
This is about a company trying to grab a image from someone that probably does not earn their income from photography so they can save a buck . This crap happens every day and people fall for it .
So what if people said what they have paid for E.R. services , it illustrates a point that they stick it to us every time we go and why the hell should they get a free or next to nothing priced image .
I don't get where we were unprofessional in giving advice . I don't screw any clients over but they will pay a price for my work . You really need to learn to read what people have posted before you start calling us unprofessional .

I think you need to reread the OP. There is nothing in there about the hospital's intent or wanting the image for nothing. It simply says they want to use the image and the OP stated he did not really want to charge them.

My post was about being vindictive, it was simply to point out that the medical industry is a for profit business and should be treated like any other for profit business requesting your service.
If Toyota were to come to you wanting to use your photo on a bill board I doubt you would offer it up for free.
Furthermore, the hospital sees your work as having a value - attractive, informative, etc - and that value will bring them revenue. So in essence, you photo represents unrealized dollars in their coffers, if it did not they would not spend the money advertising on billboards.

As everyone else states, definitively charge! However, don't put a credit on there. Any time I see a credit on a photo I generally make the almost-always-true assumption that the photographer who took that picture did it for the credit, and did not get paid (This is not true for tabloid photographers/agencies).
I seriously doubt, however, that you're going to get anything north of $1K for this. You're not a professional shooter. The hospital knows this. If you go in throwing a lot of money requests around, they'll send you packing with a "We'll call you" goodbye. Take this for what it is, a nice kudos for you to tell your family and friends about. But you should get paid never the less.
The best thing you can do when you meet with them is to simply ask "What's your budget prepared for?" You may be surprised at how little, or how much they'll pay you. Chances are they want it for free. If that's the case, walk away. You'll be devaluing every photographer on the planet by not walking. They'll probably counter with "what's your rate?" Then I'd throw a couple grand at them and prepare to negotiate downward.

If they are using it to promote their hospital then i would charge. If they were using it as an art piece to decorate their walls for patients and families, I would consider putting my name as credit on the photo and doing it as a charitable contribution and take it as a tax write off. Since you indicated it was to promote the hospital I would request to be paid with some defined limits of what they will use the image for.
