Skullcrusher, there are a few different ways to approach it and you really have to decide which is better for you. Most schools in my area (and probably most areas) are broke and cannot finance something like this without going through the hassle of a separate fundraising event to raise the money to make this happen. I don't do this for free...I don't do this for exposure. I am in business to make money. Time is money and the materials cost money as well, so here's a couple ways you can approach it. There are several different places who will print these posters in either 11x17 or 13x19 one-sided posters on 80-100 lb glossy stock. If you print 100 they will cost a little over $1.00 each, 250 will be about .75 cents each and 500 will run you about .50 cents each. Remember, this is just the cost of the poster, you still need to cover your time for the shoot and design time.
1. I offer my school either the 250 or 500 qty. option for a set price that includes my time to create the photos and design the product. They can either pay this fee out of their athletic funds and give them away at games, or some even sell them for a few bucks each and use it as a fundraiser for the booster club.
2. Sponsors: Some schools have no problem getting a handful of sponsors to pay for the posters and we will gladly put their logo or information on the poster. Some schools do not want sponsors on their poster so you go back to option number 1. Next year, I am going to create a list of local sponsors who would be interested in supporting local sports so that I can do more of these and even possibly more sports because it's a lot easier to get a school on board if you tell them it will not cost them anything because you already have the local sponsors lined up.
3. Direct sales: I do not personally do my posters this way, but there is another guy in the next county over who deals with one school and he does a lot of their sports posters and only prints a handful to sell directly to the parents of the kids in the poster. He sells these in like 18x24 prints and sells them for around $70 each. If he has 6-8 seniors in the poster and they all buy, he is making around $500 (minus costs) but there again, the school is not out any money to do these posters.
